General Definition of Work

Performs administrative support work assisting the general public with inquires at the Senior Center, receiving and processing money, conducting facility tours, monitoring and maintaining files, and related work as apparent or assigned. Work is performed under the moderate supervision of the Senior Recreation Services Coordinator.

Essential Functions

Update sand processes membership accounts and new member intakes; performs monthly member reminder calls regarding fees; tracks building occupancy levels and compiles related reports; monitors the participants in Senior Center activities in order to cross reference unduplicated and expired files.

Collects and handles received money for fees, trips, donations, and rentals; sorts and distributes daily deposit reports.

Enters data into computer system.

Performs general file and document maintenance; monitors, maintains, and organizes stored files; composes reports, documents, correspondence, memorandums, signs, banners, and news releases; enters data into computer system.

Assists the general public by phone, email, and in person; directs inquires to appropriate resource as needed; aids members and nonmembers with immediate needs; walks individuals to requested locations; conducts facility tours; coordinates activity sign in sheets; fills out activity documents and scorecards; assists with activity set up as needed.

Monitors and maintains supply inventory; orders supplies as needed; organizes and stocks supplies; delivers related inventory reports to the Senior Recreation Services Coordinator.  

Assists with Widowed Persons Services overflow; sells snacks.

Monitors office areas and cleans as needed.

Assists with opening and closing the building as needed.

 

Knowledge, Skills and Abilities

Knowledge of the principles, rules, techniques, materials, and equipment required for a variety of special events and recreational activities; knowledge of office administration practices and procedures; knowledge of the records and reports which must be prepared and maintained; knowledge of correct English usage, including spelling, grammar, and punctuation; knowledge of the organization's rules, policies, and procedures applicable to assigned function; skill in the use of personal computers, associated software packages (Microsoft Office, Google Suites), hardware, and peripheral equipment; ability to efficiently schedule and coordinate recreational activities; ability to create a stimulating, caring, safe, and enjoyable learning environment for seniors; ability to deal courteously and effectively with the public; ability to make basic and accurate arithmetic calculations; ability to prepare reports and statements; ability to establish and maintain effective working relationships with associates, hospitals, other departments, outside agencies, supervisors, and the general public.

 

Education and Experience

High School diploma or GED.

 

Physical Requirements

This work requires the occasional exertion of up to 10 pounds of force; work regularly requires speaking or hearing, frequently requires using hands to finger, handle or feel and repetitive motions and occasionally requires standing, walking, sitting, climbing or balancing, stooping, kneeling, crouching or crawling, reaching with hands and arms and pushing or pulling; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, using of measuring devices, operating machines, operating motor vehicles or equipment and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a loud noise location (e.g. grounds maintenance, heavy traffic).

 

Special Requirements

Valid driver's license in the State of Indiana.
