POSITION: FACILITATOR OF FIRST IMPRESSIONS

DEPARTMENT: MAYOR

REPORTS TO:        COMMUNITY DEVELOPMENT COORDINATOR

JOB CATEGORY: COMOT (Clerical, Office Machine Operators, and Technicians)

SALARY:         $12.50 HOURLY

STATUS:                  PART TIME

FSLA STATUS:        NON-EXEMPT

SUMMARY

The City of Richmond is seeking candidates to fill our Facilitator of First Impressions position. Our ideal candidate has a pleasant demeanor and professional appearance. In this role, you will be the first person that team members and visitors see as they enter our building, so it is essential to create a welcoming atmosphere.

DUTIES

Greet all persons as they arrive;

Screen all persons entering the City Building;

Provide each visitor with a visitor’s pass;

Provide information or direct individuals to the appropriate department;

Track how many guests visit throughout the day and which department they visit;

Schedule appointments or calls;

Help maintain a clean and welcoming environment;

Assist with administrative tasks;

Notify supervisor or security personnel about potential issues.

KNOWLEDGE, SKILLS AND ABILITIES

Skill in operating standard office equipment and related hardware and software;

Skill in customer service and professional communications;

Ability to understand, interpret, explain and apply policies and procedures;

Ability to communicate effectively orally and in writing with detail to spelling, grammar, and punctuation;

Ability to deal courteously and effectively with the public;

Ability to serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons;

Ability to establish and maintain effective working relationships with coworkers, supervisors, and the general public;

Ability to meet all hiring requirements, including passage of all required test and exams, such as drug and background.

Ability to maintain confidentiality of department information and records according to state requirements.

Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

EDUCATION AND EXPERIENCE

High School diploma or GED and moderate experience working in a general office environment assisting with customer inquiries and maintaining records, or equivalent combination of education and experience.

RESPONSIBILITY

Incumbent preforms duties as prioritized by the supervisor and the service needs of the public. Decisions are always determined by specific instructions or existing, well established, policies and procedures.

PERSONAL WORK RELATIONSHIPS

Incumbent maintains frequent communication with the public, city employees, Richmond Police Department, Richmond Fire Department for the purpose of receiving and giving information and recording required information.

PHYSICAL EFFORT AND WORK ENVIROMENT

Incumbent performs required duties in standard public building environment. The incumbent will be required to stand and sit for long periods of time in varying temperatures. The incumbent will be required to push pull objects, bend, read, write, hear sounds/communication, and handle/grasp/finger objects.
